School Fee Management Software for Indian Schools
It is the last week of the month. The fee clerk has a register open, a calculator, and a queue of parents asking whether last month’s payment went through. The accountant wants the receipts by Friday. The Principal wants to know how much is still pending, and nobody can give her one number. ZeroSuite is built to end that week.

A fee cycle, start to finish
- The plan is set once. The office decides how each class pays: yearly, half-yearly, quarterly or monthly. Parents cannot change it. A child who joins in October is not billed for June.
- Parents pay from their phone. UPI, card or net banking, straight into your school's own Razorpay account. The oldest unpaid instalment is always settled first, so nobody skips April to pay June.
- The receipt makes itself. A payment only counts once Razorpay confirms it. Then the receipt is issued and the dues update. Nobody has to type it into a register afterwards.
- The counter still works. Cash and cheque are entered at the counter on the same ledger. If a cheque bounces, mark it and the dues come back with a record of why.
- Reminders go out on their own. Parents get a nudge before the due date, on the day, and a few times after. The message never shows the amount, so a locked phone on a table gives nothing away.
- The accountant gets a file, not a stack. Receipts export to Tally as import-ready XML. The office picks a date range, downloads, and the accountant imports.
The controls your office will ask for
- Concessions with a paper trail. Sibling, staff ward, RTE, scholarship or hardship. Each needs a note, the front office can request one and the admin approves, and a reversal is recorded, not erased.
- Late fees you switch on. Off until the school decides. Set a flat amount, a per-day charge, a percentage or slabs, with a grace period and a cap. You see what it would charge before you turn it on, and the admin can waive it for one child with a reason.
- Nothing vanishes at year end. Unpaid fees carry into the new year as arrears. Paid in advance? The extra sits as credit against the next instalment.
- No-dues before a leaving certificate. The office sees outstanding fees before issuing an LC, with an admin override for the cases that need one.
- The right people see the money. The front office collects and reminds. The admin approves concessions and waivers. The Principal can be given the same fee view as the admin, or none.
- One tap to chase the defaulters. A list of who owes what, and a Remind now button for when the due date is tomorrow and you cannot wait for the schedule.
The point is not fewer clicks for their own sake. It is a Principal who can ask “how much is pending?” and get an answer before the parent in front of her finishes the question.
Good to know before you sign
Reminders go to the parent app as standard; WhatsApp alerts and route-wise bus fees are set up on request. Until then, transport can be billed as a fee head. ZeroSuite exports to Tally but does not keep your full books. If any of these matters this term, tell us before you sign, not after.

Where does the fee money go?
Into your school's own Razorpay account. ZeroSuite never holds your fees. Razorpay settles to the school's bank account on its normal schedule, and a payment is only marked paid after Razorpay confirms it to us directly.
A parent says they paid but the app shows it unpaid. What happens?
If Razorpay has not confirmed the payment, it is not marked paid, which protects you from a screenshot of a failed payment. Once Razorpay confirms it, the receipt and dues update on their own. The office can check the payment reference against the Razorpay dashboard at any time.
Can we still take cash and cheques?
Yes. The counter records cash and cheque on the same ledger as online payments, with a receipt for each. A bounced cheque can be marked and the amount goes back to outstanding.
Will it match our Tally books?
Fee receipts export as Tally-importable XML for any date range. The export checks that each voucher balances before you download it. ZeroSuite does not replace your accounting; it hands your accountant clean entries.
Do reminders go by WhatsApp or SMS?
As standard, reminders go as push notifications to the parent app, and they never include the amount. WhatsApp alerts are available on request, so mention them when you first talk to us.
Is the fee module sold on its own?
It is part of the ZeroSuite School ERP, so fees sit next to attendance, report cards and the student record. Talk to us about which modules your school wants switched on.
